Tracking Domain Expiry in a Spreadsheet: When It Works and When It Breaks
Most people tracking domain renewals are doing it in a spreadsheet. Not a monitoring tool, not a reminder system — a sheet with a column of dates, usually made after a near-miss.

But the honest position is that for a handful of domains, a spreadsheet is fine, and telling you otherwise would be silly. What's worth understanding is precisely where it stops working, because the transition is not gradual — it fails suddenly, and usually only once.
When a spreadsheet is genuinely fine
- You own a few domains — say under ten.
- They're all at one or two registrars you log into regularly.
- You're the only person responsible, so there's no ambiguity about who checks.
- Nothing critical rides on them — personal projects rather than a client's revenue.
In that situation the overhead of another tool isn't obviously worth it. Build the sheet properly and get on with your life.
Building a good one
If you're going to do this, the columns that actually earn their place:

Two of those are the ones people leave out and then regret.
Registry expiry date, not the dashboard date. Several registrars show a renewal or billing date that differs from actual expiry — Shopify's is 14 days early, Wix's roughly 30, and Network Solutions shows nothing at all when auto-renew is off. Card expiry. The single most common cause of a domain lapsing despite auto-renew is a card that expired first. It's a date, it's knowable, and almost nobody writes it down.
Then add conditional formatting to highlight anything inside 60 days, and a calendar reminder to actually open the sheet. A sheet nobody opens is a list of dates, not a system.
The three things a spreadsheet cannot do
Here's where it stops being a tooling preference and starts being a structural gap.
1. It doesn't know when reality changes
A spreadsheet records what was true when you typed it. It doesn't know that:
- A domain was renewed early, so the date moved
- Auto-renew got switched off during a billing change
- The nameservers changed last Tuesday
- The registrant email now points at someone who left
- A certificate was issued for a subdomain you don't run
Every one of those is a change to the thing you're tracking, and the sheet keeps displaying the old answer confidently. Stale data that looks authoritative is worse than no data, because it stops you looking.
2. It has no independent alarm
The sheet doesn't contact you. You contact it. So the whole system depends on a human remembering to check a document about a topic that is boring by design and only matters a few days a year.
That works right up until the week the check doesn't happen — holiday, a launch, a busy quarter — which, by the nature of these things, is exactly when a renewal falls due.
3. Certificates move too fast for it
Domains renew annually, which a spreadsheet can just about track. Certificates renew every 60–90 days, often automatically, across every host and subdomain you run. Nobody maintains that by hand, so certificate rows either don't exist or are wrong within a quarter.
The moment it breaks
In practice the spreadsheet stops being adequate when any of these become true:
- More than one person is responsible — now nobody is
- Domains at three or more registrars — no single dashboard to reconcile against
- Client or revenue domains — the cost of one mistake exceeds the cost of the tooling
- Anything you'd struggle to recover — a brand name someone else would happily buy
The tell is usually a near-miss: a domain that renewed with a week to spare and nobody knew until afterwards. That's the same failure that would have been a lapse if the card had been dead.
What replacing it actually changes
The point isn't a nicer list. It's that the list maintains itself and speaks up:
- Dates read from the registry, so they're right without anyone updating them
- Auto-renew status checked per domain, so a setting that flipped is visible
- Certificates tracked continuously, including on subdomains found via Certificate Transparency
- Email before the date, rather than depending on someone opening a document
- Changes surfaced — nameservers, status codes, DNS — since those are usually the first sign something's wrong
